Workday: Beyond the Basics

Okay, so you’ve logged in to Workday, you’ve updated your emergency contact information and you’ve completed your Welcome to Workday and Disaster Preparedness journeys — now what? Here are some suggestions for moving beyond the basics.

Your colleagues have been asking questions; some of them might be yours, too. To date, more than 14,000 Workday Help cases have been resolved. Though not an exhaustive list, these are some of the more frequently asked questions about Workday received in the first 45 days.

  • How to move direct reports from one cost center to another? Start with the Payroll Costing Allocations in Workday Quick Start Guide. As a reminder, with Workday, all cost center IDs and names have changed. Click here to access and download your personal copy of the Foundation Data Model crosswalk workbook to help you. If you need to create or edit a cost center, contact your finance director.
  • How to delegate approvals to others when OOO? Tip sheet.
  • How to request extended learner accounts to complete Epic training? Tip sheet.
  • How to enroll team members in a course or program? Tip sheet.
  • Submitting requisitions: An employee first must take the Requisitions in Workday course, then submit a ticket in ServiceNow requesting security to give them access, with a copy of the completion certificate attached.

 

Help with Workday and Support Resources

There’s plenty of in-person help available for answering your Workday questions, but before you reach out, instead first reach for the wealth of training tools you can access 24/7 which allow you to learn at your own pace.

Start with Self-Service Workday Training Resources. Most “How do I…?” questions can be answered using our Workday training materials. You can find training resources in two places:

  • On The HUB: Visit the Workday Learning and Training Resources page. There, you can browse through more than 200 tip sheets, quick start guides and recorded demonstrations.
  • Inside Workday: Training and support resources are also available directly within Workday.
  •  Use the search bar within Workday to find knowledge articles.
  • Use the Workday Assistant chatbot within the toolbar to initiate a task, search for a colleague or get a quick answer to a question. Both search and Workday Assistant are available within the toolbar, at the top of every Workday screen.
    •  Tip Sheets: Select your Profile icon in the Workday toolbar, then open Workday Drive to access more than 200 tip sheets, quick start guides and recorded demonstrations. Note: These are the same resources found on The HUB but are only displayed when you search by the correct keywords.
    • eLearning Courses: Open the Learning app in Workday to find Workday eLearning courses.

     

    Getting the Answers You Need. If you still need help after reviewing training/support materials (or your issue requires support action), submit a ticket using the appropriate option below.

     

    Things You Can’t Do in Workday

    While Workday consolidates many business functions and employee transactions under a single platform, here are three that require you to go elsewhere to complete:

    1. Submit PTO requests. Workday will allow you to view your PTO balances, but all time entry, PTO requests and approvals will remain in LaborWorkx. Note: Teams that previously submitted time-off requests in MARS will not be automatically transferred to LaborWorkx. Leaders with affected teams must contact the LaborWorkx team to request access and have the appropriate PTO request functionality set up for their department.
    2. Access your 2025 W-2 forms. For those who opted to receive these forms electronically, W-2s will be available online in MARS only through April 16. Log in to MARS > Payroll and Compensation > W-2/W-2c Forms > View Form.
    3. Find your HealthyDirections+ Health Track. To find out which Health Track you’re on to earn the HealthyDirections medical premium for the next year, as well as register with Personify Health, connect a fitness device, earn HealthyDirections+ points and more, visit myHR and select Health & Healthy Directions.

    Future Updates to Workday

    Already, more Workday changes are on the horizon. Workday introduces new features and functionalities during a twice a year (March and September) release schedule. These updates deliver critical, automated enhancements that improve functionality, security and user experience, without major downtime.

    “These updates ensure that Workday evolves with HM’s business needs, providing us with access to Workday’s latest technology and features, without requiring manual, costly upgrades,” said Alex Chen, director, Enterprise Resource Planning. “To maximize these benefits, we’ll carefully review new feature documentation, test in a preview environment, update training materials and leverage ‘feature toggles’ to control the adoption of new functionality. Reaping the benefits of continuous development is one of the many reasons we chose Workday.”

    The next release is Saturday, March 14 and Workday will be unavailable that day from 1 to 4 a.m.
