Unlocking the Power of Microsoft Copilot: Insights, Impact and What’s Next
Earlier this year, Houston Methodist launched Microsoft Copilot on our Office 365 web portal. Since its debut, Copilot has helped reduce administrative burdens, sparking curiosity, enthusiasm and important conversations about the use of AI across Houston Methodist. Even Dr. Boom, HM president and chief executive officer, made AI the topic of his October President’s Letter. (Read Dr. Boom’s President’s Letter.) Today, over 5,000 people across our system are leveraging Copilot.
What is Copilot? How Can It Help Me?
Whether you’re drafting emails, scheduling meetings, generating reports or conducting research, Copilot is here to help you work smarter. Powered by advanced large language models (LLMs) — similar to tools like ChatGPT and Google Gemini — Copilot is an AI-driven assistant integrated into HM’s Office 365 web portal. Unlike public AI platforms, which can pose security risks and are restricted, Copilot operates within our secure environment, making it safe and approved for use across HM. One of Copilot’s most significant advantages is its ability to reduce administrative burdens, like routine, repetitive tasks. By automating these tasks, Copilot frees up your time, so you can focus on higher-impact work, especially in areas where human expertise and judgment are essential.

A Vision for Innovation
In April, Dr. Dale hosted an AI Oversight and MS Copilot Virtual Town Hall, where he emphasized the importance of embracing innovation to drive meaningful change. Copilot was a central theme, with Dr. Dale sharing how the tool aligns with our broader mission to simplify work and improve outcomes. “Copilot isn’t just about saving time — it’s about transforming how we work. By streamlining routine tasks, we create space for innovation, strategic thinking and a better overall experience,” noted Dr. Dale.
This vision is echoed in Dr. Boom’s recent President’s Letter, where he called for bold adoption of AI technologies to reduce administrative burden, improve decision-making and elevate the user experience across our system.
Opportunities for Feedback
In June, we conducted a systemwide survey to gather feedback from different roles across our system. The response was robust, with participants sharing their experiences, questions and suggestions. Some of the recurring survey themes included:
- Clarity and Confidence: Many users asked for clearer guidance on how to use Copilot effectively in their roles.
- Training Needs: Respondents expressed interest in more hands-on training and role-specific examples.
- Early Wins: Several survey participants shared success stories, highlighting how Copilot helped them save time and reduce manual tasks.
Some of the comments from survey participants, who regularly use Copilot included:
- “It helps me organize my thoughts and the information I want to disseminate in a professional, easily understood manner.”
- “I’ve used Copilot to craft meeting minutes/take aways from a recorded Teams meeting. It’s also helped me craft a difficult email and a strategic plan with prioritization.”
- “Copilot has helped me with writing, brainstorming ideas, creating images in slides, translations and searching information.”
- “It’s helped me turn long documents into concise, staff-friendly guides.”
Real-World Impact: Top Five Copilot Use Cases
Copilot is already making a difference for various roles across our system. Here are the top five ways Copilot is being used to help simplify recurring tasks and reduce administrative burden.
- Meeting Summaries and Action Tracking: Generating concise meeting summaries and tracking action items, improving follow-through and team alignment.
- Drafting Communications: Helping to draft messages, ensuring consistency and saving time.
- Summarizing Long Emails or Texts: Extracting key points from lengthy messages, making it easier to prioritize and respond efficiently.
- Preparing Speeches and Presentations: Assisting in structuring content, refining messaging and creating visually engaging slides tailored to the targeted audience. (It can also help allocate how much time to spend on each slide, based upon the total estimated time.)
- Organizing Notes and Ideas: Helping to structure brainstorming sessions, meeting notes or research findings into clear, actionable formats.
Looking Ahead: What’s Next for Copilot
The journey doesn’t stop here. Based on survey feedback and strategic priorities, we’re exploring different initiatives to help improve Copilot’s usability and impact. (More details will be provided later.) These efforts reflect our commitment to building an AI-enabled workplace that supports every team member in doing their best work, including plans for:
- Piloting Copilot integration into HM Microsoft apps.
- More educational sessions and use cases.
- Working with key HM champions and Microsoft on using Microsoft tools to support AI in the future.

- Only use Copilot through the HM Copilot web portal (after logging in using your HM credentials).
- Never enter any confidential information into Copilot, including patients’ Protected Health Information (PHI), Personally Identifiable Information (PII) or any HM proprietary information/trade secrets.
- ChatGPT use is restricted at HM.
